Request For Proposal (rfp) For Investiture Cermony 2023 - Quantity – 1: 1) (a) Hiring Of Boats Through Iwt Department Or Civil Cruise Ship For Cruise For Approx 200 Persons, The Boat / Ship Should Have Due Safety Specifications. Duration Of Cruise Is Approx. Four (04) Hours And Port Of Embarkation And De-embarkation Shall Be Nimati Ghat. (b) Decoration Of Boats To Include Flower Arrangement And Making Of Flex Boards And Their Placement Suitably In Consultation With Defence Organising Team (dot). (c) Snacks And Beverages For 200 X Guests. Broad Outline Details As Under : (i) Snacks To Include Dry Snacks Of Atleast Four Types Of Three Star Quality. (ii) Beverages : 3 Types Of Packed Juices Approx. 200 Ml Of Repute / Branded (real / Tropicana / Be Natural). (iii) Packed Lunch Of Good Quality To Incl Atleast One Non Veg / Veg Premium Dish, Dal, Subji, Salad, Indian Bread, Rice Pulao, Dessert And Water Bottle 250 Ml Etc. (d) Cleanliness Of The Boat Shall Be Ensured By The Bidder. Suitable Light Music Shall Be Played During The Cruise. 2) Dinner On 21 Feb 2023 -(a) Hiring Of Any Suitable Venue Which Can Cater For Atleast 200 Guests And Should Of Repute And At Least Four Star Status In The Vicinity Of Jorhat. (b) Waiters Of Five Star Standards To Serve Food, Snacks And Beverages To Approx. 200 Guests. The Layout Of The Food On The Centre Table Should Be Of Five Star Standard With Provision For Serving At The Seating Tables For The Guests. (c) Banquet Dinner Of Five Star Standard For 200 Guests As Per The Broad Outline Given Below:- (i) Starters To Include At Least Three Non-veg And Three Veg Types Of Snacks. (ii) Barbeque Preparation Of Non-veg And Veg Type. (iii) Establish A Chat Corner. (iv) One Soup To Be Offered. (v) Beverages : At Least 3 / 4 Types Of Five Star Standard. (vi) Main Course : It Should Include Two Non-veg Dishes, Three Types Veg Dishes, One Daal, Assorted Indian Breads, Rice And Three Types Salads. (vii) Dessert : Three Types (indian & Western). (d) Bidder Will Make Available Four Shyamanas, Sofa Sets And Place Them At Locations Identified By Dot And Arrange For Seating Dinner To Be Organised By Placing Square / Round Tables & Chairs 4 -6 Seating Each. Each Table To Have A Small Flower Arrangement, Five Star Quality Crockery And Cutlery. (e) Lighting 15 X Led Halogen Lights And 150 Lari Lights And 05 X High Quality Speakers. 3) Investiture Ceremony : 22 Feb 2023-(a) Printing Of Flex Papers Along With Iron Frames As Per Details Given Below:- (i) Three Backdrops Of Size 30 Feet By 20 Feet For Main Auditorium, Media Briefing And Group Photograph. (ii) Five Flex Paper Of Size 2 Feet By 25 Feet At The Main Entrance. (iii) Five Flex Papers Of Size 3 Feet By 20 Feet For Main Entrance And Vip Entrance. (iv) Seven Flex Papers Of 8 Feet By 5 Feet For Main Entrance And Vip Entrance. (v) Ten Flex Prints Of Size 4 Feet By 6 Feet For Displaying The Names Of The Awardees. (b) Red Carpeting In The Entire First Floor Of The Auditorium (4000 Sq Ft) Except Between Successive Rows. (c) Flower Decoration At The Following Places :- (i) Stage Of The Main Auditorium. (ii) Main Auditorium To Be Suitably Decorated. (iii) Main Entrance And Vip Entrance. (iv) Location For Media Brief And Group Photograph. (v) Flower Decoration On The Center Tables. (d) Hiring Of Six Sofas Sets To Be Placed For Vips And Civil Dignitaries Attending The Function. (e) Water Arrangements For 750 Guests To Include Purchase Of Small 500ml Mineral Water Bottles. (f) Hiring Of Conservancy Staff For Maintaining The Cleanliness Of The Entire Auditorium Including The Toilets, Vip Rooms And Green Rooms. (g) Making Of 30 X Sign Boards Of Size 2 Feet By 2 Feet And 2 Feet By 3 Feet For Ushering The Guests To Their Respective Seating Places In The Auditorium. (h) Miscellaneous Decoration To Include Stationary, Wallpapers, Paper Hangings And Cloth Hangings. (j) Provision Of Two Ftth Connection At The Venue For Live Streaming Of The Event On Social Media (official Social Media Accounts Of Indian Army And You-tube) (k) Hiring Of Two High Quality Video Cameras For Live Streaming Of The Event. (l) Printing Of Photographs And Framing In A4 Size Frame : Quantity 60 (m) Hiring Of Two Photographers For Covering The Event. 5) High Tea On 22 Feb 2023-flower Decoration. (a) Decoration Of 20 X Food Stalls. (b) Decoration Of Entry Gate. Balloons. (a) Decoration Of Canopy Distributed Over The Entire High Tea Area. (b) Balloon Hoisting To Be Carried Out With Eastern Command And G20 Logo. Area Decoration. (a) A Selfie Point For Clicking Pictures And Generate Awareness Amongst The Children Being A Prestigious Event. (b) Need To Construct Props With Background Showcasing North Eastern Culture. Information Boards. (a) Information Boards To Display Indian Army Achievements And Also Information For The Guests. (b) Sign Boards For The Guests And Children Need To Be Prepared. High Tea And Snacks. (a) Need To Cater For The Dignitaries, Awardees, Guests And Attendees Of The Event. (b) Mix Of Confectionaries And Hot & Cold Beverages. 5) Entertainment Programme : 22 Feb 2023-a) Light And Sound Equipment For Auditorium. (b) Decoration To Include Stage And Entrance Of Auditorium. (c) Flex Board. (d) Hiring Of Performance Artists Including Their Fees, Lodging And Three Meals For Atleast Three Days And Travel Arrangements From Their Place Of Residence And Back. 6) Barakhana : 22 Feb 2023-(a) Placement Of Tentage, Carpets And Preparation Of Stage. (b) Decoration And Vvip Banquet Seating, Tentage And Red Carpeting Catering Of Five (05) Star Standards To Cater For Dinner Of 350 Guests To Include Veg / Non-veg Starters And Main Course. (c) Light And Sound Arrangements. (d) Flex Board To Display Rich History Of Legendary Indian Army Military Music To The Guests And Their Families. 7) Transportation Work-(a) Transportation. (i) Bus 14 Seater. (ii) Innova / Premium Suvs. 8) Vis To Kaziranga Sanctuary And Safari : 23 Feb 2023-safari To Kaziranga Sanctuary For Approx. 60 Persons Needs To Be Organised And Shall Include Following : (a) Entry Fee To Orchid Park At Kaziranga. (b) Lunch At Orchid Park, Kaziranga To Entail Purchase Of Readymade Lunch On Per Plate Basis. (c) Hiring Of Jeeps For Safari To The Wildlife Sanctuary By The Awardees. (d) Distribution Snacks Hamper For The Awardees For Dining En Route To Kaziranga Wildlife Sanctuary. This Would Entail The Following Items:- (i) One 500 Ml Water Bottle.
